The opportunity

 

We are currently seeking a highly organised, detail-oriented, and proactive individual to join our team as Procurement and Facilities Administration Support Coordinator.

 

In this pivotal role, you’ll be responsible for supporting our procurement and facilities teams by coordinating processes, managing maintenance requests, and ensuring smooth administrative operations across both departments.

 

Key Responsibilities 

  • Support Procurement: in Sourcing and managing suppliers, negotiating contracts, ordering supplies, maintaining Contract Database and ensuring timely delivery.
  • Facilities: Handling maintenance requests, coordinating with contractors, tracking maintenance schedules, and ensuring compliance.
  • Administrative: Maintaining records, preparing reports, managing correspondence, and providing administrative support to both departments.

  

What We’re Looking For 

  • Previous experience in procurement, facilities management, or a related administrative role
  • Strong organisational and time management skills with the ability to multitask and prioritise effectively
  • Excellent written and verbal communication skills
  • Proficiency in relevant software systems (e.g., Microsoft Office, procurement/facilities management platforms)
  • Exceptional attention to detail and a proactive approach to problem-solving

Other requirements

 

A current, full drivers licence for the State of Victoria which is appropriate for the type of vehicle being driven and comply with any restrictions on their licence (e.g. wearing glasses).

 

It is a mandatory requirement when working in the Aged Care sector to have a valid Police Clearance or National Disability Insurance Scheme (NDIS) Worker Screening Clearance, or potentially both, to undertake the inherent requirements of this role. 

 

All aged care workers are encouraged to be vaccinated against Covid-19 (3 vaccines) and receive the Flu-Vaccine.
